Information for Attendees

Presentation Instructions

To see the method of presentation and time that has been assigned to your abstract, refer to the author index.

Oral presentation

Speakers can use PC or Mac provided in the session room for their presentations. Electronic presentations should be brought on a USB flash drive or CD-ROM/DVD. Make a backup presentation to take with you to the conference in the event of lost luggage, theft, incompatibility, and any unexpected trouble. Any external files utilized, e.g. movie files, must be included in the same folder as the presentation. The following software will be available for presentaions:

Speakers will be required to copy their presentations onto the PC/Mac and to verify they work at the session room prior to the start of the session.

Alternatively, speakers can use their own laptop to connect to the LCD projector provided in the session room. The native resolution of the LCD projectors is 1024 × 768 (XGA). Speakers will be required that they have the adapters necessary to connect their laptop to a standard VGA (D-Sub 15-pin type) cable and their laptop has a functioning battery (no power connection at the podium). Speaker laptops must be tested with the LCD projector at the session room prior to the start of the session.

Presentation copy and laptop validation will be available in before sessions, coffee breaks and lunch time. In addition, it will be available on Tuesday night, 15 May, between the hours of 16:00 to 20:30 JST.
Speakers for Wednesday morning sessions are strongly recommended to do on Tuesday night, 15 May, between the hours of 16:00 to 20:30 JST. The earlier check is better for all speakers. Note that connection trouble will consume the assigned time of your talk.

Poster presentation

Poster presentations can be exposed during all the conference. Dedicated sessions for posters will be scheduled on 2nd and 4th days just as the long afternoon coffee break. Authors are expected to be present at their poster during the poster sessions.

Posters will be able to put from 7:40 8:00 JST on 16 May. We strongly recommend the poster presenters to install their poster within 16 May. It should be installed by noon on 17 May. All posters must be removed by the end of last session on 20 May. Any posters that are not removed by 17:50 17:30 JST (the end of last session) on 20 May will be discarded.

The maximum sizes of a poster are 1200 mm in width (horizontal) × 1800 mm in height (vertical, from the floor). Any poster of which sizes are less than the maximum sizes is OK. Pushpins will be provided for the poster presentation.

Due to space limitations, tables, computers, video equipment, etc., cannot be accommodated as a part of a poster display.

There is no Fedex/Kinkos or few similar shops in Niigata city, therefore poster presenters would need to have prepared their poster before coming to Niigata.

General Information for Attendees

Check-in / On-site registration

The registration desk at TOKI Messe will be open during the following terms: 15:00-21:00 on 15 May, 7:30-19:00 on 16 May, 8:00-17:00 on17 May, 8:00-12:00 on 18 May, 8:00-17:00 on 19 May, and 8:00-12:00 on 20 May. You can make payment for on-site registration in cash (Japanese Yen only) or by credit card. No checks can be accepted.

Attendee Lounge (Room 203, 204)

Electric power supply is available at Attendee Lounge (Conference Room 203 and 204).

The voltage in Japan is 100 V, which is different from North America (120V), Central Europe (220V) and most other regions. The frequency of electric current is 50 Hertz in Eastern Japan (including Niigata and Tokyo).

Most of the type of electric plugs/sockets used in Japan is the type-A. Sometimes type-B is used. Note that you can use a type-A plug for both type-A and type-B sockets but cannot use a type-B plug for a type-A socket. For details, see, e.g., http://www.kropla.com/electric2.htm

A voltage transducer or a travel adapter of AC plug should be prepared by an attendant who needs it. THESE TRANSDUCERS/ADAPTERS WILL NOT BE PROVIDED AT THE MEETING.

Internet Access

Wireless LAN connections to the Internet will be provided at the Conference venue. Wired LAN connections will not be available.

Special Event

Welcome Reception (on 16 May, Wed., 2012, night)

The session will start on the morning of the first day (16 May, Wed., 2012). We will have an ice-breaking reception on 16 May night after the sessions. A registration desk at the Conference venue will be open on 15 May, from 15:00JST to 21:00JST though.

Excursion (on 18 May, Fri., 2012, afternoon)

We are going to visit the Northern Culture Museum, which is a spacious wooden house contains more than 60 rooms. The owner (Ito family) of this house was a wealthy landowner from Edo era in Niigata area. In 1946, Ito family distributed their land to tenant farmers, because the Land Reform Act was officially proclaimed. At the same time, their house and all of the valuable works of art the Ito family had collected were donated to the Northern Culture Museum, which was established in 1946. Since the premises have been preserved quite well since their construction in 1885-1887, in the Northern Culture Museum, you will see traditional Japanese architectures. The garden is also very attractive. You can see stones and rocks covered with green moss which are arranged around the pond. The garden and premises are surrounded by beautiful trees. A lot of arts with Japanese traditional works (hanging scroll, pottery, painting and so on) are on display at the museum. We are sure you can feel Japanese culture there. The museum has restaurants, souvenir shops, tea house. You can spend happy afternoon there.

We are planning to visit additional place, if possible. It depends on how many people participate in the excursion because the capacity of sightseeing point is limited. Thus, if you want to join the excursion, don't forget to check your participation of excursion through the registration page.

[NOTE] A light meal bag for lunch will be prepared for each participant.

Banquet (on 18 May, Fri., 2012, evening)

The conference banquet will be held at the ANA Crowne Plaza Hotel near the conference site on 18 May (Fri.) evening. A show with Japanese traditional music with Japanese instruments is planned. Detail program will be available at the conference. Meeting attendees and accompanying persons are welcome to attend the banquet. The banquet fee is 8000 JPY per person. Accompanying persons can register for the banquet at the same 8,000 JPY fee. The attendance of banquet for all can be added through the online registration procedure. LOC will provide the accesses information to the ANA Crowne Plaza Hotel later.

For Accompanying Persons

Conference Lunch

LOC have decided to prepare the daily conference lunch for accompanying persons at cost 1,000 JPY (per meal). These lunches will be available on 16, 17, 19, and 20 May. As for 18 May, no lunch will be prepared because we have the sessions on morning only and go to the Excursion in the afternoon (a light meal bag for lunch will be prepared for each participant of excursion). Note - there are only a few eating places or restaurants in the neighborhood of the Conference venue. Although a lot of various restaurants are in the city of Niigata.

Those who request the additional lunches for their accompanying person need to send the following information to the ACM2012 Registration Desk by 7 May. Payment is required by cash at the registration desk at the conference venue.

  • Name of attendee.
  • The number of additional lunches you request to each date, with Dietary requirement (ordinary or vegetarian).
  • Return address.

Visitor Information

The Visitor Information Desk will be open from 15 May afternoon to 17 May in the conference hall. The Visitor Information Desk will introduce tourist spots in Niigata city.

LOC has no plan to organize special events/visits for accompanying persons but excursion on 18 May (Fri.) afternoon.

Accompanying persons are also welcome to attend the Banquet on 18 May (Fri.) evening at ANA Crowne Plaza Hotel. An accompanying person can register for the banquet at the fee as same as a conference attendee.
